Questions to Ask Before Choosing Check-In Software

If you run a tutoring or learning centre, digital check-in sits in the middle of your busiest hour. Students arrive in a rush, a parent wants to know their child is inside, and the person at the door needs a record that will still make sense at the end of the day. The vendor you choose will hold student names, parent contacts, and attendance times.

A feature list is easy to publish. A calm afternoon is harder. Before you move the centre onto check-in software, settle five things: who operates the company, what you can watch working today, where the records go, what the monthly price includes, and who helps after you start. Name the operator, not only the brand

You should be able to say which business you are trusting. Schedulo is a registered business name of 2120670 ONTARIO INC., an Ontario corporation. The Ontario Business Identification Number is 1001735657. That line is on the About page and in the privacy policy. Product, onboarding, privacy, and security questions go to [email protected].

Schedulo is scheduling software for tutoring and learning centres, including Kumon-style centres. Salons and professional services are other audiences on the same platform. It is an independent product. It is not affiliated with or endorsed by Kumon North America. It is built by a Kumon instructor who also runs a centre.

Ask any vendor for the legal name, where the company is based, and a way to reach a person. A website can look finished long before those answers exist.

Watch the path your staff will use

Buy the workflow you can see, not a description of what might arrive later. In a demonstration, walk one student through the afternoon you already run:

Those steps are what the Attendance add-on covers: a QR or barcode scan at the door, printable scan cards, timestamped in and out lines, automatic checkout when the session ends, reports for print or PDF, the optional parent email, a room screen of who is in class, and a view for parents in that family. The scan is not the whole product. Family logins, standing weekly times, parent booking, reminders, a waitlist, and a live view of the day belong to core scheduling. Staff hours and a staff kiosk belong to a separate staff add-on. The pricing guide says which job sits on which price, so one headline number is not doing all the explaining.

Read the policy before you upload a roster

Records about minors deserve a slow read of the privacy policy and the terms. Schedulo's privacy policy, effective September 4, 2026, names 2120670 ONTARIO INC. as the operator. It covers account details, business contacts, booking and attendance records, and messages you submit. Those records are used to run booking, attendance, reminders, support, security, onboarding, and reporting. Personal information is not sold.

Hosting, the database, sign-in, email delivery, analytics, and technical support are handled by service providers. They receive only the access that work requires. The centre controls the customer and attendance information it enters. A question about one child's record normally goes to that centre first. An account owner can email [email protected] to request access, a correction, an export, or deletion, subject to legal duties and backups.

The public policy does not name a city where the servers sit, and it does not describe one encryption method. It says the service uses safeguards suited to the work, and that no online system can promise perfect security. If you need a region, a retention note, or a plain explanation of protection while data is moving, email [email protected] and keep the reply. Ask every vendor for the same note in writing.

Separate the monthly price from the extras

A low number only helps when you know what it leaves out. Schedulo publishes three figures. Core scheduling is $19.99 a month: Canadian dollars for a centre in Canada, US dollars elsewhere. Attendance is an additional $5 a month. Staff Hub is an additional $9.99 a month. A new centre can start with a free 30-day trial, and setup is guided. Then ask the questions the page might skip. Do parent messages, extra staff logins, onboarding, or a later price change sit outside the figure you were shown? On Schedulo, door scan and staff scheduling are optional add-ons. They are not folded into the core $19.99. Compare products only after you have written those extras down.

Know who picks up on a class day

Check-in fails in front of families. A parent is at the door, a line is forming, and the tablet is the record. Before you depend on it, ask how you reach a person, whether someone helps you introduce the system to parents and staff, and what a normal reply looks like.

You are looking for answers you can check. Open the About page, the privacy policy, and the terms. Watch one student go in and out. Write down $19.99, $5, and $9.99, and which job each figure covers. Email [email protected] when a public page is silent, including server region.
