Retiring the Paper Sign-In Binder: A Two-Week Changeover Plan

The 31 October 2026 digital check-in deadline is close enough now that "we'll switch sometime" has to become a date. If your centre still runs a paper sign-in binder at the door, the good news is that the changeover does not have to be a hard cutover. A two-week parallel run gets you there without betting a Monday on new software.

Week 1 — run both, on purpose

Keep the binder out. Turn the digital system on alongside it, and tell staff explicitly that week 1 is a rehearsal, not a switch. Every student checks in digitally, and the binder stays as the safety net. What matters in week 1 is not that the binder fills up — it is that every failure in the digital path is found while the paper path still exists.

Print scan cards for the whole roster up front. Schedulo Attendance (included in Learning Centre) includes printable student scan cards and labels, so the whole batch can be printed and handed out in one sitting rather than drip-fed. If a card does not scan on day one, that is a week-1 finding, not a crisis.

The failure cases to test before you rely on it

Pick a busy session in week 1 — the 4:15-on-a-Tuesday kind — and deliberately walk through the cases that break systems:

Week 2 — paper off

Once a full week has run with the failures found and fixed, retire the binder — actually remove it from the desk, not "leave it just in case". A binder within arm's reach gets used, and then your attendance record is split across two systems, which is exactly what the deadline is ending. From week 2 on, manual name entry in the software is the fallback, not paper: Schedulo Attendance (included in Learning Centre) supports manual name entry that writes the same timestamped record as a scan, so a card left at home is a two-second fix, not a torn-out binder page.

What you get at the end

When the binder is gone, attendance lives in one place: timestamped records, attendance reports you can print or export, and no month-end transcription. Optional check-in emails can tell parents their child arrived, which quietly answers the "did they get in okay?" calls the binder never could.

One honest note: Schedulo is an independent product, not affiliated with or endorsed by Kumon North America. The two-week plan above works with whatever tool you choose — the deadline only cares that the record is digital.

If you want the parallel run guided, start the 30-day free trial at schedulo.ca/start-trial — guided setup is included, so week 1 is rehearsed with someone who has done it before.
